About the Role
Our Associate Manager- Facilities will manage multiple functions of building operations and maintenance projects in the warehouse, as well as lead a small team of facility coordinators/maintenance workers.
What the Candidate Will Do
- Develops and maintains positive relationships with clients. Attends client meetings.
- Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping and janitorial work. Reviews work orders to ensure that assignments are completed.
- Responsible for facilities inspections daily and reports with action items
- Builds and maintains preventative maintenance schedules for all equipment
- Tracks and maintains logs of spending and incidents for compliance
- Maintains all relevant certifications for the role
- Coordinates with EHS staff to assist in safety training and compliance reporting
- Coordinates and manages moves, adds and change activities for employees
- Obtains and reviews price quotes for the procurement of parts, services, and labor for projects.
- Assists in managing capital projects. Prepares capital project and operating budget and variance reports.
- Manages vendor relationships and trains vendors on work order and billing procedures. Responsible for invoice processing and accuracy of cost center coding.
- Provides process and procedure training.
- Manages access control
- Assists in managing visitor processes and procedures
- Manages supply ordering for sites
- Oversees mailroom, shipping and receiving
- Develops and maintains a positive working relationship with landlords and property management teams
- Conducts financial/business analysis including preparation of reports.
- Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping and janitorial work.
- Ensure the smooth day-to-day FM operations according to building rules and lease obligations
- Other duties may be assigned.
Basic Qualifications
- Authorized to work in the United States without the need for visa sponsorship now or in the future
- At least 5 years in an equivalent position with relevant working experience (Office Manager, Maintenance Technician, etc.)
- At least 3 years experience in providing integrated facilities management services
- Bilingual - strong English & Spanish written and verbal communication skills
- Ability to work outside of normal business hours (including weekends) as needed
Preferred Qualifications
- Certified Facilities Service Manager (FSM) with FSM experience
