The Department: People
The Role: People Solutions Associate
As part of the Gemini People Team, you'll help shape and scale our People Operations function as we continue to grow. As an Associate, People Solutions, you'll own and support key People Operations processes across the employee lifecycle, from onboarding and orientation to offboarding, HR systems, and employee data management. You'll play an integral role in delivering a seamless employee experience by ensuring our people programs and operations are efficient, accurate, compliant, and people-centered.
In this role, you'll partner closely with teams across the business to execute core People initiatives, continuously improve processes, and identify opportunities to simplify and automate workflows. You'll regularly work with highly confidential information and be trusted to exercise sound judgment and discretion while maintaining exceptional attention to detail and data integrity.
We're looking for someone who is proactive, detail oriented, resourceful, highly organized, and thrives in a fast-paced, evolving environment. You'll be successful if you're comfortable managing multiple priorities, taking ownership of your work, collaborating across teams, and independently driving projects forward once priorities are established. This role is based in our New York office and requires weekly in-person attendance to support new hire onboarding and orientation.
Responsibilities:
- Own and execute core People Operations programs across the employee lifecycle, including onboarding, offboarding, employee engagement initiatives, performance management, and other People Team programs.
- Own the end-to-end onboarding experience, including weekly in-person onboarding, welcoming new hires on their first day, conducting identity and security verification, assigning required training, facilitating live orientation sessions, and serving as the primary point of contact for onboarding-related questions.
- Partner closely with People Business Partners and the broader People Team to deliver a seamless employee experience and support People programs throughout the employee lifecycle.
- Execute employee lifecycle transactions and maintain accurate employee records within Workday (transitioning to Dayforce), Lattice, and other People systems across functional areas including Benefits, Payroll, Performance Management, and People Operations.
- Manage the background check process for employees, interns, and contractors, ensuring accuracy, confidentiality, and compliance with company policies.
- Serve as the first point of contact for employee HR inquiries by managing the People Team Help Desk and People Solutions inbox, responding within established SLAs and appropriately triaging or escalating complex or sensitive matters.
- Process I-9 employment verifications and maintain confidential employee files, ensuring the highest standards of data integrity, accuracy, and compliance.
- Administer required annual compliance training and learning programs, ensuring timely completion and accurate reporting.
- Identify opportunities to improve, standardize, and automate People Operations processes to increase efficiency and enhance the employee experience.
- Support internal and external audits by coordinating, validating, and delivering accurate HR documentation and evidence within required timelines.
- Partner with cross-functional teams including Talent Acquisition, IT, Security, Payroll, and other stakeholders to ensure seamless onboarding, offboarding, and employee lifecycle processes.
- Create, maintain, and continuously improve Standard Operating Procedures (SOPs), process documentation, and knowledge resources within Confluence and Google Drive.
- Lead and contribute to People Team initiatives and cross-functional projects, managing deliverables within defined scope and timelines while adapting to evolving business needs.
Minimum Qualifications:
- 3+ years of experience in Human Resources, People Operations, or a related HR function within a fast-paced, high-growth organization.
- 2+ years of experience administering Workday, Dayforce, or a comparable Human Resources Information System (HRIS).
- Experience supporting employee lifecycle processes, including onboarding, offboarding, HRIS transactions, and employee data management.
- Working knowledge of U.S. employment laws and HR compliance requirements, including I-9 verification, employee record maintenance, and confidential data handling.
- Impeccable attention to detail with a proven commitment to data integrity, accuracy, and compliance across People processes and systems.
- Experience working with ticketing systems such as Jira or equivalent platforms to manage employee requests and operational workflows.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Drive, and Sheets), including strong analytical skills in Google Sheets.
- Demonstrated ability to exercise sound judgment and maintain the highest level of discretion when handling sensitive and confidential employee information.
- Proven ability to identify process improvement opportunities, simplify workflows, and leverage automation to improve operational efficiency and employee experience.
- Strong organizational and operational skills with the ability to manage multiple priorities, proactively follow up on deliverables, and consistently produce high-quality work in a fast-paced environment.
- Excellent written, verbal, and interpersonal communication skills, with confidence facilitating live presentations and delivering an engaging onboarding experience for new hires.
- Strong problem-solving and critical thinking skills, with the ability to troubleshoot issues, evaluate options, and balance employee needs with broader business objectives.
- Demonstrated ability to build strong cross-functional partnerships with teams such as Talent Acquisition, Tech, Security, Payroll, Benefits, and other business stakeholders.
- Self-starter with the ability to work independently, navigate ambiguity, adapt quickly to changing priorities, and proactively remove roadblocks while maintaining a high level of service.
- Genuine interest in building a career in People Operations and growing alongside a scaling People Team.
Preferred Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- SHRM-CP or equivalent HR certification.
- Experience with People Operations tools such as Confluence, Checkr, Lattice, Slack, Jira, Zip, and DocuSign.
- Experience leveraging AI-powered tools to streamline workflows, improve documentation, and increase operational efficiency.
- Competitive starting pay
- A discretionary annual bonus
- Long-term incentive in the form of a new hire equity grant
- Comprehensive health plans
- 401K with company matching
- Paid Parental Leave
- Flexible time off
